Choosing the perfect conference venue09/10/2012

Choosing the perfect conference venue can be a difficult task, here at The Monks Yard in Somerset we understand this so we’ve written our 5 tips for choosing a conference venue to help you make the right decision on your conference venue.

1. Location

Location is one of the most important factors in choosing a conference venue.  The location must both serve your needs and have easy access for your delegates.  The Monks Yard is in an idyllic rural setting but is close to major rail and road routes, giving your conference the best of both worlds.

2. Costs

All conferences work to a budget, we recommend you set and stick to it before you start looking at venues, make sure you factor in not only the venue hire but also amounts for refreshments and lunch.  Here at the Monks Yard we provide a very reasonable inclusive daily delegate rate to take the guess work out of your budget.

3. Facilities

So you’ve found your location and set your budget, next up is making sure that your chosen venue has all of the facilities you and your delegates need.  Things to consider are whether you have any disabled or hard of hearing delegates and if so will your venue be able to accommodate them.  Also you need to figure out what equipment and services you will need, such as projectors, PA systems, sockets and WI-FI.  The easily accessible ground floor My Events Room at The Monks Yard has a full induction loop, large projector and screen and can hold up to 100 delegates.

4. Parking

Your delegates may be coming from far afield to your conference, so you want to make sure that your chosen venue has plenty of parking available. The Monks Yard has ample parking facilities and will be offering a Cycle-Charge point for electric bicycles from the beginning of 2013.

5. Accommodation

If your event is going to run over more than one day, or if you have an early start/late finish, you will also need to make sure that either the venue or the surrounding area has ample suitable overnight accommodation for your guests.  The Monks Yard also works closely with accommodation providers and can make suggestions for lodgings to suit your delegates and their budgets.

We hope our 5 tips for choosing a conference venue have helped you in your search and if you are looking for a conference venue in the South West or Somerset near Ilminster, Taunton or Yeovil, we hope that you will come and visit us to see what we can offer, to make an appointment to view The Monks Yard, please call 01460 200020 today.
